We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and executive support to senior management. The ideal candidate will be responsible for managing daily schedules, handling confidential correspondence, coordinating meetings and travel, and ensuring smooth execution of all administrative functions. This role demands strong multitasking ability, attention to detail, and a high level of professionalism to manage both business and personal priorities efficiently. The position offers the opportunity to work closely with senior leadership, playing a crucial role in enabling effective decision-making and maintaining seamless communication across departments and external stakeholders. The Personal Assistant will act as a trusted point of contact, ensuring discretion, efficiency, and excellence in all aspects of administrative coordination. Roles and Responsibilities - Manage and maintain the executive’s calendar, scheduling appointments, meetings, and travel arrangements with precision and foresight. - Prepare meeting agendas, take minutes, and ensure timely follow-up on action points and deliverables. - Handle confidential correspondence, emails, and communications on behalf of the executive with a high degree of discretion and professionalism. - Coordinate internal and external meetings, events, and engagements, ensuring all logistics and materials are prepared in advance. - Organize and maintain files, records, and documentation (both digital and physical) for easy retrieval and reference. - Prepare reports, presentations, and business documentation as required by management. - Liaise with internal teams and external stakeholders to ensure timely communication and task completion. - Manage travel itineraries including visa processing, accommodation bookings, and expense reconciliations. - Handle personal errands and tasks as delegated by the executive, maintaining confidentiality and efficiency at all times. - Assist in tracking key business deliverables and deadlines, ensuring management priorities are met on time. - Provide administrative support for office operations, procurement, and coordination with vendors when needed. - Maintain a positive and professional image of the executive and the company in all interactions. Requirements - Bachelor’s degree in Business Administration, Management, or a related field. - Minimum 3–5 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role. - Strong organizational, planning, and multitasking abilities with exceptional time management skills. - Excellent communication and interpersonal skills with fluency in English (Arabic is a plus). - Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital scheduling tools. - High level of discretion, integrity, and confidentiality in handling sensitive matters. - Ability to work under pressure, manage competing priorities, and adapt to changing needs. - Professional appearance and demeanor, with a proactive and service-oriented approach.
