We are seeking a highly organized, detail-oriented, and resourceful Personal Assistant (Executive Assistant) to provide comprehensive support to senior management and ensure smooth day-to-day operations across business and personal functions. The role requires exceptional coordination, discretion, and the ability to anticipate needs before they arise. The successful candidate will manage executive schedules, oversee communication flows, handle confidential information, and act as a reliable bridge between leadership, internal teams, and external partners. Roles and Responsibilities • Manage executive calendars, schedule meetings, and coordinate appointments, conferences, and events. • Prepare professional correspondence, reports, and presentations with strong attention to detail and accuracy. • Handle sensitive and confidential information with the highest degree of integrity and discretion. • Coordinate complex travel arrangements including flight bookings, hotel accommodations, transportation, and visa processing. • Serve as a communication link between executives and internal/external stakeholders, ensuring messages are clear, timely, and aligned with priorities. • Prepare meeting agendas, compile briefing materials, take minutes, and follow up on action points. • Track key deliverables, business commitments, and ensure timely completion of tasks and reports. • Oversee expense management, budget tracking, and vendor coordination for executive requirements. • Support in personal and administrative tasks, ensuring effective time and resource management. • Identify process improvements to enhance productivity and streamline daily executive operations. • Maintain a professional and positive image while representing the executive and organization in all interactions. Requirements • Bachelor’s degree in Business Administration, Management, or related field preferred. • 3–5 years of proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role. • Strong organizational and multitasking abilities with excellent time management. • Excellent communication skills—verbal and written—with fluency in English. • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools. • Exceptional interpersonal skills and the ability to interact with senior stakeholders professionally. • Strong problem-solving skills, adaptability, and ability to handle changing priorities. • Discretion, reliability, and emotional intelligence in managing executive-level matters.
